Policy Statement

It is the policy of the State University of New York (SUNY) to ensure that recognized student organizations, University programs, departments, and units that want to share information about upcoming events and activities are able to do so through various means of communication, including flyers and posters. All students must follow this policy and the specifications details in the Center for Student Engagement (CSE) Handbook.

Rationale

SUNY reserves the right to manage posting and advertising on its campuses in order to maintain an orderly and attractive venue, to make event information accessible to the campus community, and to ensure that events and programs that are advertised comply with institutional policies and procedures. 

Applicability of the Policy

This policy sets forth the requirements for all bulletin boards on campus, including those designated for campus use and those “For Public Use.” This policy does not apply to bulletin boards that are reserved for specific departments, offices, or organizations whereby posting generally requires permission of that group. This policy does not apply to residence halls, or other University-managed housing, which are governed by the Office of Residential Life internal policies.

Procedures

 

Campus Use Boards:

Campus Use Boards are bulletin boards throughout campus solely for use of SUNY New Paltz recognized student organizations, University programs, departments and units.

All print or digital materials promoting or describing an event, meeting, program, etc., must clearly indicate the sponsoring group/organization and phone number or email address of a contact person, including who should be contacted for reasonable accommodations. Student organizations must have flyers approved by the Center for Student Engagement (CSE) as outlined in the CSE Handbook and receive a stamp from CSE.

Public Use Boards:

These boards, located throughout campus, are identified as Public Use Boards. These boards may be used by campus and unaffiliated individuals and groups. Recognized student organizations may post on these but are still subject to the same regulations as Campus Use Boards and require approval from CSE. 

Materials on these boards from unaffiliated individuals or groups may be removed if they violate any community standards of SUNY New Paltz or the following parameters for posting. These boards are intended to be used for job postings, apartment rentals, provided services, lost animals/items, or outside events.

Promotions for events not sponsored by SUNY New Paltz must clearly indicate the sponsoring group and phone number or email address of a contact person and explicitly indicate that the event is not sponsored by SUNY New Paltz.  Items posted that do not follow the policy guidelines will be removed.

The following is applicable for all forms of posting, including General Use Boards and Public Use Boards:

Posted items are to be posted only on appropriate bulletin boards identified for this purpose. Prohibited posting activities include without limitation: posting of promotional flyers or leaflets on doors, windows, trees, light poles, vehicles, bus stops, indoor and outdoor walls and in elevators; promotion of events that advertise alcohol or drugs or any event that violates the law and/or the SUNY New Paltz Code of Conduct.

The use of chalk or any other form of writing or drawing on buildings, sidewalks, or roadways is not permitted without prior written approval from the Center for Student Engagement for students, or Facilities Management for non-students.

Postings may not be placed over current/valid postings of other organizations. No one may remove or tear down current/valid postings of other organizations. Multiple postings of the same event in the same location are prohibited.

Items posted that do not follow the policy guidelines will be removed.  Repeated violations will result in a loss of posting privileges and possible disciplinary action.
